Student Responsibilities

Students must agree to abide by all AcePace T&C, regulations and policies and given to all students at time of enrolment. These are included in the Student Handbook, displayed on the AcePace website at https://www.acepacetraining.co.uk, and made available to students as required. They may be updated from time to time. A full list of documents containing AcePace’s relevant regulations and policies is available on request.

Students are required to:

  • Follow all College procedures for submission of work and deadlines
  • Abide by the College protocols & deadlines on academic standards and the avoidance of ‘unfair practice’ including plagiarism
  • Respect all College property, equipment and learning resources
  • Fulfil all financial obligations to the College as detailed below in Financial Regulations, Refunds and Transfers
  • Respect the College’s attendance requirements and be aware that failure to do so may have implications, including the requirement to retake elements of the course and pay the associated charges.

Will you need a job in dental surgery?

Yes, you will have 3 months’ time from the start of your course to find a placement. The AcePace Recruitment team will provide a list of Private Surgeries who are in touch with us for the last 4/5 years and looking for more Trainee Dental Nurses so you can contact them as a registered/approved student at AcePace.  AcePace will also supply weekly updates of vacancies to our students. You will be free to contact these vacancies to organise interviews by the way of contacting our admin team through email or phone call. Students who are unable to secure a placement within the first three months of starting the course will not be moved on to the National Diploma in Dental Nursing until they find a trainee dental nurse job.

We also provide Reference letter to the employee in case if you find a job at local practice.

Student Enrolment

All students will be enrolled on Introduction to Dental Nursing course and will be moved to National Diploma in Dental Nursing programme /National Diploma In Dental Nursing programme once they have secured a placement in a Dental Practice on a part or full-time basis and successfully transfer themselves into that programme by paying awarding bodies exam fee/CRF/Portfolio.

Employment

AcePace does not guarantee employment to any student as a result of purchasing and attending any of its training courses. However, our recruitment team will, where possible, endeavour to assist students that attend courses to find suitable vacancies for potential employment opportunities. This will depend on suitability of the student to a client’s requirement, and whether or not there are any vacancies. AcePace reserve the right to select candidates for interviews with its clients or refuse to forward information regarding employment opportunities to any student who has purchased one or more of its courses. This applies to all courses run by AcePace Training. AcePace will supply weekly updates of vacancies to our students. You will be free to contact these vacancies to organise interviews by the way of our Job page located on our website. AcePace cannot be held responsible for its client’s requirements or selection criteria at any time.

Medical advice

You must be vaccinated against Hepatitis B and if possible provide evidence of Hepatitis B vaccination blood test results, to show that your anti body levels are high enough. You must also ensure that you are up to date with your tetanus booster and all childhood vaccinations before you start working in any dental practice.

Change of Tutors

AcePace Training reserves the right to change or replace tutors at short notice which may be due to unforeseen circumstances such as sickness and/or emergencies. AcePace Training do not guarantee the same tutor for an entire term of any course. In cases of unforeseen teacher absence AcePace Training will supply a substitute tutor/tutors for the period of the absence where enough notice was given which is 72 Hours. In cases where insufficient notice of an absence was given consultants of AcePace Training will make every reasonable effort to inform students of a lesson Cancelation via telephone calls and e-mails but cannot be held responsible for unreceived messages due to incorrect or eligible contact details which have been given to AcePace Training.

Refugees and Overseas students

AcePace Training cannot be held responsible for the failure of students to gain permission to study in the UK by the UK border agency. All students are solely responsible for attaining the correct information and permission to study in the UK ensuring that they obtain the correct visa before paying any part of their course fee. Please be aware that students must allow a reasonable amount of time in which to complete the record of experience document therefore no refunds will be given to any student who cancels a course on these grounds.

Failure to Attend Classes

It is in the student’s interests to attend all scheduled classes on this course. AcePace Training cannot be held responsible for information students have missed which was either given verbally in the class or in written form due to lateness or other personal problems that students may experience and as a result will not supply extra lesson time or handouts to any student who requests extra help for these reasons. It is the responsibility of the student to do extra reading and research for information that has been missed.

AcePace Training admin will record, monitor and report on the attendance of all students for all their timetabled classes.

Any absence will be considered unauthorized unless there is a valid reason and proof has been submitted.

Exam Fee

Exam fee – £485 plus admin fee of £150 will be charged at the point of candidate registration with NEBDN

College Rights and Responsibilities

  1. The College will adhere to and implement good practice in applying its regulations, and meet its responsibilities as defined by all relevant external accrediting and awarding bodies/organisations and as detailed in the College Code of Commitment, which can be found in the Student Handbook.
  2. The College reserves the right to assess applications and to offer admission or reject applications as it deems appropriate, in line with course entry requirements and best practice among educational institutions.
  3. The College reserves the right to alter dates, fees and any particulars in published materials (in prospectus, brochures, or on the website) without prior notice. Equally, the College reserves the right to vary, amend or introduce regulations, terms, policies and procedures without prior notice, within reason. This does not affect the statutory rights of students, as indicated below.
  4. For courses where the number of teaching hours are not specified by an awarding body, the College reserves the right to vary within reason the length of the course, the number and length of holiday periods and the days on which the course runs.
  5. The College accepts no legal liability in the cases of accidents, illness, loss or damage to personal effects or mail, or for any damages or accidents caused through negligence or otherwise of a third party.
  6. The College reserves the right to contract any third party to provide services, including enforcing any terms of this agreement, and to store and share with any parties as appropriate, students’ personal information, subject to the United Kingdom’s Data Protection Act 2010.
  7. The College reserves the right to conduct and provide its services from premises within reasonable commuting distance of its current campus.
  8. The College reserves the right to initiate the recovery of all outstanding fees or College property from its students, and action to achieve this may include legal action as appropriate.
  9. The College reserves the right to change a student’s fee status classification in the light of changes in relevant UK legislation, or where the student has withheld relevant information.
  10. The College reserves the right to make special arrangements to cover exceptional/extenuating circumstances, at the discretion of the College.
  11. Our auditor decision with regards to ROE submission is final and it’s AcePace QA team discretion to allow for your NEBDN final exam or not.
  12. AcePace Training has the right to terminate any of our offers or T&Cs without prior notice.
  13. All AcePace T&Cs and prices are subject to change.

Complain Policy

  • If a student is dissatisfied with either the course’s educational provision (other than the award of credit, a mark, or grade) or its support services, the following procedure must be followed.
  • Step 1: Speak to AcePace admin staff and raise your concern
  • Step 2: If you are still not satisfied then please put your complaint in writing to Dr Singh, Lead Tutor on info@acepacetraining.co.uk. You will receive an acknowledgment report within 10 working days and the complaint will be dealt with within 28 working days.
  • The student should contact the Course Director concerned in writing and explain the nature and grounds of the complaint.
  • The course Director will acknowledge the complaint when received and resolve the complaint informally where possible, and record its outcome, where the issues raised by the student appear capable of effective and fair resolution by informal discussion with the student.
  • If it appears to the course Director that the complaint appears on the face of it to be unjustified, misconceived or vexatious the course Director may write to the student and invite withdrawal of the complaint on such basis with an indication that the complaint will only proceed to an investigation if the student responds in writing and requires the complaint to proceed.
  • In the event of a complaint proceeding formally, the course Director will consider the complaint in consultation with those concerned in the provision of the service e.g. the course tutor, internal assessor, programme manager or other service manager.
  • Where a complaint puts in question a matter of academic performance and/or professional judgment/reputation of the person who is the subject of the complaint he/she shall have a right to put their case to the course Director.
  • The course Director will provide the student with a provisional response in writing as soon as reasonable practicable, and in any case within four weeks of receiving the complaint. The student will be invited to comment in writing within seven days. The course Director will review the provisional response in the light of any observations communicated by the student and then finalize and provide the student with the written response itself within seven days of receiving any observations on the provisional response.
  • If the course Director decides that there is a basis for the complaint, the course Director will seek an equitable resolution of the issue.
  • If a student is expelled, a letter detailing the reasons will be sent to the student. The student will not be entitled to a refund of course fees paid. AcePace Training reserves the right to expel instantly any student contravening our gross misconduct policy.

  Financial Regulations, Refunds and Transfers

  1. Students must pay the full tuition fee for a specific course.
  2. Dental Nursing CACHE is £2299 PLUS VAT
  3. Introduction to dental nursing which may lead to National Diploma in Dental Nursing is £1299 PLUS VAT, Exam fee.
  4. Course fees for self-financed students may be paid by instalments in agreement with the College.
  5. The College reserves the right to make the following charges, at the rates detailed in College regulations as updated from time to time.
  6. All fees are due immediately and are non-refundable as provisioning of your service commences immediately.
  7. All payments must be in UK Pounds Sterling. If your cheque is returned by the bank as unpaid for any reason, or if your credit card declines you will be liable for administration charge of £25.
  8. All monthly instalments must be paid by a recurring method of payment and as per agreed payment terms. Failure to do so will result in contact from our Collections Department and an admin fee of £25 will be incurred each time a letter is issued.
  9. All charges payable by you for the services shall be due and payable in advance of our service provision. Charges are exclusive of VAT, except it says otherwise which shall be paid additionally by you at the rate prescribed by law on submission by us of a proper VAT invoice;
  10. You agree to pay all value-added taxes related to the service(s) provided to you hereunder. All sums due and payable that remain unpaid after any applicable due period herein will accrue a late charge of £10 per week or the maximum amount allowed by law, whichever is less.
  11. All payments must be made by the invoice date, failure to pay on time will result in a late payment penalty of £10 per day. Penalty can only be void in extenuating circumstances at management’s discretion.
  12. Duplicate copies of Letter of enrolment will be charged £20 per letter.
  13. AcePace will not either partly or fully refund your course fee to you at any point that you decide to leave the training course. The only time that we would agree to refund the course fee is if we decide not to run or cancel the course. The deposit otherwise is non-refundable.
  14. Withdrawal request from the candidate – if at any point the student withdraws from the course he/she will be required to pay the whole course fee (if paying by instalment plan).
  15. In the event of non-payment of instalments where the instalment is more than 1 week overdue, AcePace will email to the student requesting a payment and detailing all overdue payments. A further 2 weeks will be granted to pay off the remaining overdue instalments. If no payment is received by the end of the extended period, the student will automatically be suspended from the course until fees are paid up to date. Please note that this can seriously affect your chances of completing the qualification.
  16. Please note: in the event that a student failed to make the overdue payment, the company will reserve the right to pass the outstanding debt to the debt recovery team and the student will lose the right to the interest free monthly payment option. The remaining applied full balance will be due for settlement immediately.
  17. Should you decide to move to another training provider, there will be a fee of £149 PLUS VAT

Successfully Achieving Qualification

To achieve the full qualification of National Diploma in dental nursing you will need to complete the process below; the student recognises that failure to complete any part of the process will result in failure in completing the programme and becoming a qualified dental nurse:

  1. Secure a placement as a trainee dental nurse within 3-4 months of commencements of your course and transfer to our National Diploma in Dental Nursing program.
  2. Attend a training course with a NEBDN approved centre and achieve at least 80% attendance.
  3. Find a work placement (paid or voluntary) ideally within the recommended time in order to complete the entire RoE portfolio within the deadline provided by the course provider.
  4. Complete all required practical and written RoE assignments and submit on or before the deadline fulfilling all the key competencies and experience following the guidelines set by the NEBDN.
  5. Holds a valid CPR or Basic Life Support certificate.
  6. Candidate is required to pass the course provider’s internal mock exam with a 70% pass rate. Failure to attend mock exam on the scheduled day will incur a fee of £75 to sit the mock exam and to resit if unsuccessful.
  7. Successfully pass both parts of the Diploma in dental nursing examination for dental nurses.

Re-sit /Transfer Policy

If you fail:
a) the theory part of the exam, or
b) Fail the practical, or
c) Fail to meet the NEBDN’s deadline for ROE application in order to complete the exam that they originally booked the course for or,
d) Fail to submit their ROE by the required AcePace’s completion deadline or,
e) Fail to hand in your examination application form by the deadline in order to sit the examination that you originally booked the course for, you will have 2 options below to renew or extend your support
f) Admin fee is £100.00

  1. g) Should you decide to move to another training provider, there will be a fee of £149 PLUS VAT
  2. h) You will be automatically withdrawn/suspended if you don’t re-join by the deadline.
  3. i) Re-Mock exam fee is £70, AcePace Mock exam is Compulsory for you to sit the exam.

You can renew your support to the next available written or practical examination and will include access to the Revision Session. This renewal will not include further lessons before the next examination however will offer the required level of support.

The renewal cost for re-sitting the NEBDN Theory examination is £399.00, this is made up of £125 NEBDN Exam Resit Fee plus £274 course renewal by AcePace Training. If you had to re-sit the OSCE practical examination is £629.00, this is made up of £300 NEBDN Exam Resit Fee plus £329 course renewal with AcePace Training. These fees include your examination fees for the above exams. Please note that we also offer further revision OSCE classes as part of the renewal, in order for you to prepare for the OSCE examination.

If a student wishes to transfer class between 1-2 months after the commencement of the course for the reason mentioned above, he/she will be required to pay £275 towards the admin transfer fee.

If a student wishes to transfer to another class between 2-6 months after commencement of the course for the reason mentioned above, he/she will be required to pay £525 towards the admin and transfer fee.

Student can defer their course for future date (only 1 year deferral period allowed) for any reason, this will be £675 Plus VAT towards the deferral and admin fee. This applies to any student whom wishes to postpone the course until the next 12 months.

AcePace Training the total course fee for National Diploma in Dental Nursing 2017 is £1299

Exl. VAT for the students who would like to start the course from the beginning.

*Transfer: This is when a student wishes to change to a different scheduled class, however has same exam date as their current group.

*Defer: This is when a student wishes to change to a different scheduled class and the exam date is different date to their current exam date.

Candidates must pass both parts of the examination within the 3-year validity period of the Record of Experience.

Deferment policy

AcePace has offered a deferment policy for our students that enable a student to defer from their original booking onto the next available course in our sequence of cohorts. This opportunity is looked at on a case by case basis and must be confirmed before the course start date and subject to availability. AcePace are unable to move students after their original course has begun. Please note that if a student is deferred to a later course enrolment, the course fees still need to be paid as per the original direct debit agreement in its entirety

Deferring an Exam

Any student that decides to defer their Theory exam will be subject to a £50 charge from the NEBDN in order to move the exam date. Once a student has applied for their ROE they are automatically assigned to the exam specified on the form, so any difference to this will incur the £50 charge. Please note that any extension fees to extend your course will be an additional cost to this, please refer to course handbook.

Please note that deferring your OSCE exam will be a different charge. Please contact the office for details.

Extending the course

When a student needs to extend their support period to cover them up until the next re-sit exams, this can be done at a discounted cost of £449.00 Excl vat. This will include Revision Sessions along with support and continuation of marking the EROE if required as well as full access to the College. Please note, this fee does not include the cost of the re-sit.

The Qualification Process

Full qualification of The Diploma in Dental Nursing is achieved by completing the process below;

  • The student recognises that failure to complete any part of the process will result in not successfully becoming qualified as a dental nurse.
  • Attend a course with an approved centre (AcePace Training is fully approved)
  • Find a work placement ideally within the recommended time in order to complete the entire record of experience document in time for our deadline.
  • Complete all required practical and written assignments from The Record of Experience and have them signed off by their GDC registered witness/dentist.
  • Successfully pass both parts of The Diploma in Dental Nursing Examination for Dental Nurses.
  • Pass all the Internal Mock exam (secure minimum 75% in each mock)
  • 80% Minimum attendance

The Record of experience document is valid for 3 years maximum. Please be aware, it is not possible to give time spans on how long it will take each student to complete their individual record of experience documents. You can complete your Record of Experience even if you acquire part time work, however, this may delay your progress. The NEBDN guidelines suggest a minimum of 3 months (subject to change) in order to complete your ROE.

Record of Experience

There will be a charge of £60.00 for a copy of the record of experience which is a mandatory requirement by the NEBDN on securing employment as a trainee Dental Nurse.

During your Induction class you will be provided with both the date that you must to apply for your Record of Experience and also the date that it will need to be completed by.

Reminders of your deadlines will be sent to all students throughout the course duration via email also provided as part of your induction pack.

All students are requested to upload work for the Record of Experience on a regular consistent basis and not just upload all in a short space of time. All work must be completed in Draft form and then sent to your appointed Moderator.

All Students must have a minimum of 3 to 6 months work on the ROE to comply with the NEBDN Standards. These will be not reminded by the AcePace Team during your course duration.

Our Auditor decision with regards to ROE submission is final.

Policy for cancellations and refunds

AcePace will not either partly or fully refund your course fee to you at any point that you decide to leave the training course. The only time that we would agree to refund the course fee is if we decide not to run or cancel the course.

The deposit otherwise is non-refundable. Withdrawal request from the candidate – if at any point the student withdraws from the course he/she will be required to pay the whole course fee. (if paying by instalment plan).

Course fees will not be refunded where cancellations are received after or before the course commencement date, for whatever reason, no refund will be given. In addition, any balance of outstanding fees on the student’s account must be paid in full.

Refunds and Pregnancy

Where a candidate falls pregnant within 1 calendar month of the first lesson and this has been declared after the 5 working days cooling off period AcePace Training will refund 40% of any amount that have been paid up to the date of declaration of pregnancy to AcePace Training. The deposit is not refundable.

  1. Students are expected to attend the course they enrolled for from the start date applied for and of which they have been notified.
  2. The College reserves the right to exclude permanently any student who commits gross misconduct or a serious breach of College regulations. If such action is taken, the student will forfeit all fees or other payments made to the College.
  3. Students are financially liable for any damage that they may cause to AcePace’s property or equipment.
  4. Students are also required to abide by any additional course-specific regulations and policies which may be specified by AcePace Training.
  5. Late submission fees, assessment re-take fees and any other such charges.
  6. Students are entitled under the terms of this agreement to a refund of all or part of the fees paid in the following circumstances:
    Should the College be unable to offer an advertised course on the advertised start date, or within a reasonable period thereafter a full refund will be given
  7. No refund of fees paid will be given under the following circumstances:
    In cases of dishonesty, e.g. the non-disclosure to the College of information, the presentation of forged documents, any changes to documents seen by the College.
    b. If a student withdraws from their course before the course completion date.
  8. The Fees and Deposit is not refundable in any other case.

Failure to service monthly instalment plan

If you have chosen the Instalment Plan option, your monthly payment will be taken by direct debit after completing and agreeing to our direct debit mandate conditions.

On choosing the instalment option you agree to the above schedule of payments. The course fees are due in full even if you decide to withdraw from the course. Upon withdrawal, you are liable to pay 4 monthly instalments of £295.

In the event of non-payment of instalments where the instalment is more than 1 week overdue, AcePace will email to the student requesting a payment and detailing all overdue payments. A further 2 weeks will be granted to pay off the remaining overdue instalments. If no payment is received by the end of the extended period, the student will automatically be suspended from the course until fees are paid up to date. Please note that this can seriously affect your chances of completing the qualification.

Please note: In the event that a student failed to make the overdue payment, the company will reserve the right to pass the outstanding debt to the debt recovery team and the student will lose the right to the interest free monthly payment option. The remaining applied full balance will be due for settlement immediately.  

Plagiarism Policy

What does it mean?

When someone submits an assignment that contains work that is not his/her own, without indicating this (providing reference or acknowledging the source/s), then it is ‘plagiarism’ and this is an offence.

This includes:

  • Copying from the notes or essays of a fellow student.
  • Copying word-to-word directly from a text.
  • Copying a phrase or sentence.
  • Rephrasing the words from a source very closely.
  • Using downloaded information from the internet.
  • Copying or downloading figures, photographs, pictures or diagrams without acknowledging your sources
  • Copying from your own notes, on a text, tutorial, video or lecture, that contains direct quotations.

Although you are encouraged to show the results of your reading by referring to and quoting from works on your subject, copying from such sources without acknowledgement is deemed to be plagiarism and will not be accepted by the college.

This means that you must make it clear which words and ideas are yours and which have come from elsewhere, through the use of quotation marks as well as in-text citations.

What to do?

Where plagiarised material is included in assignments, tutors are likely to notice the shifts in style and may be aware of the source. Seek their advice on this early on in your study.

Why not to plagiarise or cheating?

You might do it due to lack of self-confidence or from a lack of understanding about the aims of the assessment and about what is required of you. Assignments provide a vehicle for assessing your performance during your training and contribute to your overall result. However, they also assist you in understanding your subject and aid your learning on the topic.

When you choose, and attempt to use the ideas and terms independently, you learn more thoroughly and develop your own writing style. You are likely to perform better in examinations if you have learned how to write your own reports.

You are denying yourself the benefit of this valuable learning strategy by submitting work that is not your own. Copying would be counter-productive to your goal of understanding the topic and to real achievement. Most students will not wish to take such a negative approach to studying, and AcePace does not tolerate it.

You are encouraged to collaborate with others in studying, but submitted work copied from or written jointly with others is not acceptable, unless collaboration is required in the assignment.

Therefore, you will be asked to acknowledge a statement to confirm that all portfolio/homework you have submitted is your own. Submitting work that has been done by someone else and persistent borrowing of other people’s work without citation are obvious instances of plagiarism and are regarded as cheating. Copying answers from social networking sites is cheating. Paying for work from other sources and submitting it as your own is also cheating. It gives one student an unfair advantage over others, that’s why it’s wrong. Passing on your assignments to others, with the knowledge that another student may copy the assignment will also lead to a penalty.

If students caught cheating in the Mock exam, he/she will be automatically suspended and may be reported to the warding bodies.

Actions:

If a case of plagiarism is proven, this is a serious offence and AcePace’s below disciplinary procedures will be followed:

  • Student will be suspended for minimum 3 months until further decision and be given verbal/written warning.
  • Student can be asked to resubmit whole or part of the assignment.

If a candidate fails to comply then below actions will be taken:

  • Student might be removed from the college.
  • Student might be reported to governing bodies.

All Students
Students are financially liable for any damage that they may cause to AcePace property or equipment.

Wi-Fi offered by AcePace is solely for use by its employees and prospective and enrolled students physically present on AcePace premises. Your use of our “AcePace Wi-Fi” represents your agreement to these terms.

These terms can be modified at any time, and your continued use of the AcePace Wi-Fi indicates your acceptance of those modified terms.

Availability/Passwords

AcePace does not guarantee that the Wi-Fi will be available in all areas of the premises or at all times. AcePace may modify, suspend or cancel the AcePace Wi-Fi at any time for any reason and without notice.

Passwords provided to you to access the AcePace Wi-Fi are intended only for the relevant students or staff members and must not be disclosed to or used by any third parties.

Acceptable Use

By using the AcePace Wi-Fi, you agree to the following:

  • You are a AcePace employee, enrolled student, or prospective student, using a laptop on the AcePace premises.
  • You will use the AcePace Wi-Fi for personal, noncommercial use only.
  • You will not use the AcePace Wi-Fi in a manner that interferes with AcePace’s ability to offer the AcePace Wi-Fi to others.
  • You will not use the AcePace Wi-Fi to transmit or store improper or unlawful material. “Improper material” means any text, graphic, audio-visual, visual or aural material that:
  • infringes the proprietary rights of another person, including copyright, trademark, patent and rights of privacy and publicity;
  • contains viruses or other destructive programs;
  • is harassing, embarrassing, sexually explicit, profane, obscene, intimidating, libellous or defamatory; and/or
  • provides false or misleading information, constitutes fraud, or is otherwise unlawful.
  • You will not use AcePace Wi-Fi to send junk mail, spam, chain letters, pyramid schemes or any similar or fraudulent schemes or any inappropriate form of communications, or collect responses to such communications.
  • You will not use the AcePace Wi-Fi to violate any laws or to discuss illegal activities.
  • You will not impersonate any person or entity, forge headers or otherwise manipulate identifiers in order to disguise the origin of any posting or collect or store personal data about other users.
  • You will never use AcePace Wi-Fi to attempt to gain unauthorised access to, or interfere with any computer system, or to damage, or breach authentication or security measures protecting any computer system, including AcePace’s computer system.
  • You will immediately comply with any request from AcePace that you cease any conduct that AcePace, in its sole discretion, considers a violation of these terms.
  • You acknowledge and agree that you are solely responsible for your conduct in using the AcePace Wi-Fi, and you indemnify and hold harmless AcePace and its group companies, subsidiaries, affiliates, officers, agents or other partners and employees from any claim or demand, including legal fees, made by any third party due to or arising out of your use of the AcePace Wi-Fi, your connection to the AcePace Wi-Fi, your violation of these terms, or your violation of the rights of another.

Monitoring

  • AcePace has no obligation to monitor the AcePace Wi-Fi, but may do so and disclose information regarding use of the AcePace Wi-Fi and your personal information for any reason if AcePace, in its sole discretion, believes that it is reasonable to do so, including to satisfy laws, regulations, or governmental or legal requests; operate the AcePace Wi-Fi properly; or protect itself and its employees, students and customers.
  • We also may remove, block, filter, or restrict by any other means any materials that, in our sole discretion, may be illegal, may subject AcePace to liability or may violate these terms. Breach of these terms may result in the suspension or termination of either access to the AcePace Wi-Fi and/or other actions including suspension or removal from study in accordance with applicable code of conduct.

Disclaimer Of Warranties And Limitation Of Liability

  • The AcePace Wi-Fi is provided on an “as is” and “as available” basis. AcePace does not warrant that the AcePace Wi-Fi will be uninterrupted, errorfree or free of viruses or other harmful components. AcePace is not responsible for any changes you make to your computer’s setting as a result of attempting to connect to the services.
  • You expressly acknowledge that there are security, privacy and confidentiality risks inherent in wireless communications and technology and AcePace does not make any assurances or warranties relating to such risks and is not responsible for any loss of privacy or data you may experience while using the service.
  • AcePace makes no express warranties and you waive all implied warranties including, but not limited to, warranties of title, non-infringement, merchantability and fitness for a particular purpose regarding any merchandise, information or service provided through AcePace or the internet generally. No advice or information given by AcePace or its representatives shall create a warranty.
  • Neither AcePace nor any of its officers, directors, shareholders, employees or other authorised representatives shall be liable for any damages arising out of or in connection with the use or performance of the AcePace Wi-Fi, including (without limitation), compensatory, direct, indirect, or consequential damages, loss of data, income or profit, loss of or damage to property and claims of third parties. If you are dissatisfied with the AcePace Wi-Fi or any related terms, conditions, rules, policies, guidelines, or practices, your sole and exclusive remedy is to discontinue using the AcePace Wi-Fi.

Termination

Without prior notice, AcePace may terminate this Agreement, your password or your use of the AcePace Wi-Fi, for any reason, including, without limitation, if AcePace, in its sole discretion, believes you have violated this Agreement or any of the applicable policies. Sections of this Agreement relating to disclaimer of warranties and limitation of liability shall survive termination of this agreement and the AcePace Wi-Fi.

Student Responsibilities

Students must agree to abide by all AcePace T&C, regulations and policies and given to all students at time of enrolment. These are included in the Student Handbook, displayed on the AcePace website at https://www.acepacetraining.co.uk, and made available to students as required. They may be updated from time to time. A full list of documents containing AcePace’s relevant regulations and policies is available on request.

Students are required to:

  • Follow all College procedures for submission of work and deadlines
  • Abide by the College protocols & deadlines on academic standards and the avoidance of ‘unfair practice’ including plagiarism
  • Respect all College property, equipment and learning resources
  • Fulfil all financial obligations to the College as detailed below in Financial Regulations, Refunds and Transfers
  • Respect the College’s attendance requirements and be aware that failure to do so may have implications, including the requirement to retake elements of the course and pay the associated charges.

Will you need a job in dental surgery?

Yes, you will have 3-4 months’ time from the start of your course to find a placement. The AcePace Recruitment team will provide a list of Private Surgeries who are in touch with us for the last 4/5 years and looking for more Trainee Dental Nurses so you can contact them as a registered/approved student at AcePace.  AcePace will also supply weekly updates of vacancies to our students. You will be free to contact these vacancies to organise interviews by the way of contacting our admin team through email or phone call. Students who are unable to secure a placement within the first three months of starting the course will not be moved on to the CACHE Level 3 Diploma in the Principles and Practice of Dental Nursing until they find a trainee dental nurse job.

We also provide Reference letter to the employer in case if you find a job at local practice.

Student Enrolment

All students will be enrolled on Introduction to Dental Nursing course and will be moved to CACHE Level 3 Diploma in the Principles and Practice of Dental Nursing programme once they have secured a placement in a Dental Practice on a part or full time basis.

Learners must be working or on a practical placement to be able to show competence in both knowledge and skills. It is recommended that a minimum of 16 hours* per week be spent in a Real Clinical Work Environment

Employment

AcePace does not guarantee employment to any student as a result of purchasing and attending any of its training courses. However our recruitment team will, where possible, endeavour to assist students that attend courses to find suitable vacancies for potential employment opportunities. This will depend on suitability of the student to a client’s requirement, and whether or not there are any vacancies. AcePace reserves the right to select candidates for interviews with its clients or refuse to forward information regarding employment opportunities to any student who has purchased one or more of its courses. This applies to all courses run by AcePace Training. AcePace will supply weekly updates of vacancies to our students. You will be free to contact these vacancies to organise interviews by the way of our Job page located on our website. AcePace cannot be held responsible for its client’s requirements or selection criteria at any time.

Medical advice

You must be vaccinated against Hepatitis B and if possible provide evidence of Hepatitis B vaccination blood test results, to show that your anti body levels are high enough. You must also ensure that you are up to date with your tetanus booster and all childhood vaccinations before you start working in any dental practice.

A dental nurse, whether qualified and registered or a trainee, working in a clinical setting should not only be Hepatitis B vaccinated but must have clear proof of antibody titre to confirm that s/he is appropriately protected from the virus.

The reasons for this are:
■The individual must be protected themselves (to protect themselves and their partner/family).
■Without vaccination the dental nurse runs the risk of becoming infected with hepatitis which could then put patients at risk which would be entirely contrary to GDC ethical guidance.

You may also need to provide TB proof.

Change of Tutors

AcePace Training reserves the right to change or replace tutors at short notice which may be due to unforeseen circumstances such as sickness and/or emergencies. AcePace Training do not guarantee the same tutor for an entire term of any course. In cases of unforeseen teacher absence AcePace Training will supply a substitute tutor/tutors for the period of the absence where enough notice was given which is 72 Hours. In cases where insufficient notice of an absence was given consultants of AcePace Training will make every reasonable effort to inform students of a lesson Cancellation via telephone calls and e-mails but cannot be held responsible for unreceived messages due to incorrect or eligible contact details which have been given to AcePace Training.

Refugees and Overseas students

AcePace Training cannot be held responsible for the failure of students to gain permission to study in the UK by the UK border agency. All students are solely responsible for attaining the correct information and permission to study in the UK ensuring that they obtain the correct visa before paying any part of their course fee. Please be aware that students must allow a reasonable amount of time in which to complete portfolio therefore no refunds will be given to any student who cancels a course on these grounds.

Failure to Attend Classes

It is in the student’s interests to attend all scheduled classes on this course. AcePace Training cannot be held responsible for information students have missed which either was given verbally in the class or in written form due to lateness or other personal problems that students may experience and as a result will not supply extra lesson time or handouts to any student who requests extra help for these reasons. It is the responsibility of the student to do extra reading and research for information that has been missed.

AcePace Training admin will record, monitor and report on the attendance of all students for all their timetabled classes.

Any absence will be considered to be unauthorized unless there is a valid reason and proof has been submitted.

Exam Fee

Exam fee – £275 plus admin fee will be charged at the time for applying for examination to CACHE.

College Rights and Responsibilities

  1. The College will adhere to and implement good practice in applying its regulations, and meet its responsibilities as defined by all relevant external accrediting and awarding bodies/organisations and as detailed in the College Code of Commitment, which can be found in the Student Handbook.
  2. The College reserves the right to assess applications and to offer admission or reject applications as it deems appropriate, in line with course entry requirements and best practice among educational institutions.
  3. The College reserves the right to alter dates, fees and any particulars in published materials (in prospectus, brochures, or on the website) without prior notice. Equally, the College reserves the right to vary, amend or introduce regulations, terms, policies and procedures without prior notice, within reason. This does not affect the statutory rights of students, as indicated below.
  4. For courses where the number of teaching hours are not specified by an awarding body, the College reserves the right to vary within reason the length of the course, the number and length of holiday periods and the days on which the course runs.
  5. The College accepts no legal liability in the cases of accidents, illness, loss or damage to personal effects or mail, or for any damages or accidents caused through negligence or otherwise of a third party.
  6. The College reserves the right to contract any third party to provide services, including enforcing any terms of this agreement, and to store and share with any parties as appropriate, students’ personal information, subject to the United Kingdom’s Data Protection Act 2010.
  7. The College reserves the right to conduct and provide its services from premises within reasonable commuting distance of its current campus.
  8. The College reserves the right to initiate the recovery of all outstanding fees or College property from its students, and action to achieve this may include legal action as appropriate.
  9. The College reserves the right to change a student’s fee status classification in the light of changes in relevant UK legislation, or where the student has withheld relevant information.
  10. The College reserves the right to make special arrangements to cover exceptional/extenuating circumstances, at the discretion of the College.

Complain Policy

  • If a student is dissatisfied with either the course’s educational provision (other than the award of credit, a mark, or grade) or its support services, the following procedure must be followed.
  • Step 1: Speak to AcePace admin staff and raise your concern
  • Step 2: If you are still not satisfied then please put your complaint in writing to San Kumar, Manager/Quality Assurance on info@acepacetraining.co.uk. You will receive an acknowledgment report within 10 working days and the complaint will be dealt with within 28 working days.
  • The student should contact the Course Director concerned in writing and explain the nature and grounds of the complaint.
  • The course Director will acknowledge the complaint when received and resolve the complaint informally where possible, and record its outcome, where the issues raised by the student appear capable of effective and fair resolution by informal discussion with the student.
  • If it appears to the course Director that the complaint appears on the face of it to be unjustified, misconceived or vexatious the course Director may write to the student and invite withdrawal of the complaint on such basis with an indication that the complaint will only proceed to an investigation if the student responds in writing and requires the complaint to proceed.
  • In the event of a complaint proceeding formally, the course Director will consider the complaint in consultation with those concerned in the provision of the service e.g. the course tutor, internal assessor, programme manager or other service manager.
  • Where a complaint puts in question a matter of academic performance and/or professional judgment/reputation of the person who is the subject of the complaint he/she shall have a right to put their case to the course Director.
  • The course Director will provide the student with a provisional response in writing as soon as reasonable practicable, and in any case within four weeks of receiving the complaint. The student will be invited to comment in writing within seven days. The course Director will review the provisional response in the light of any observations communicated by the student and then finalize and provide the student with the written response itself within seven days of receiving any observations on the provisional response.
  • If the course Director decides that there is a basis for the complaint, the course Director will seek an equitable resolution of the issue.
  • If a student is expelled, a letter detailing the reasons will be sent to the student. The student will not be entitled to a refund of course fees paid. AcePace Training reserves the right to expel instantly any student contravening our gross misconduct policy.

Financial Regulations, Refunds and Transfers

  1. Students must pay the full tuition fee for a specific course.
  2. Course fees for self-financed students may be paid by instalments in agreement with the College.
  3. The College reserves the right to make the following charges, at the rates detailed in College regulations as updated from time to time.
  4. Duplicate copies of Letter of enrolment will be charged £20/per letter.
  5. All fees are due immediately and are non-refundable as provisioning of your service commences immediately.
  6. All payments must be in UK Pounds Sterling. If your cheque is returned by the bank as unpaid for any reason, or if your credit card declines you will be liable for administration charge of £25.
  7. All monthly instalments must be paid by a recurring method of payment and as per agreed payment terms. Failure to do so will result in contact from our Collections Department and an admin fee of £25 will be incurred each time a letter is issued.
  8. All charges payable by you for the services shall be due and payable in advance of our service provision. Charges are exclusive of VAT, except it says otherwise which shall be paid additionally by you at the rate prescribed by law on submission by us of a proper VAT invoice;
  9. You agree to pay all value-added taxes related to the service(s) provided to you hereunder. All sums due and payable that remain unpaid after any applicable due period herein will accrue a late charge of £10 per week or the maximum amount allowed by law, whichever is less.
  10. AcePace will not either partly or fully refund your course fee to you at any point that you decide to leave the training course. The only time that we would agree to refund the course fee is if we decide not to run or cancel the course. The deposit otherwise is non-refundable.
  11. Withdrawal request from the candidate – if at any point the student withdraws from the course he/she will be required to pay the whole course fee. (if paying by instalment plan).
  12. In the event of non-payment of instalments where the instalment is more than 1 week overdue, AcePace will email to the student requesting a payment and detailing all overdue payments. A further 2 weeks will be granted to pay off the remaining overdue instalments. If no payment is received by the end of the extended period the student will automatically be suspended from the course until fees are paid up to date. Please note that this can seriously affect your chances of completing the qualification.
  13. Please note: In the event that a student failed to make the overdue payment, the company will reserve the right to pass the outstanding debt to the debt recovery team and the student will lose the right to the interest free monthly payment option. The remaining applied full balance

How is the qualification assessed? What are the observation requirements?

The qualification is assessed internally and externally.

  • Learners are internally assessed via various methods
  • Learners are also externally assessed through the two external assessment tests covering the underpinning knowledge across units DN 12 – 16. The format of the tests will be multiple choice questions and each paper will contain 50 marks with duration of 1 hour 30 minutes for each paper. These are not an open book assessment. They are a formative assessment using criterion referencing. Negative marking is not employed.

Observations:

For units which require observations to be undertaken, learners must have exposure to an appropriate breadth of procedures and patients (e.g. adults, children and young people, older people and those with special needs e.g. hearing and visual impairments, learning disabilities, mobility issues etc.). Learners should undertake each activity relating to patient care on sufficient occasions to enable them to develop the skills and the level of competency required to achieve the relevant skills learning outcomes/assessment criteria. Partially competent and not competent indicate that more experience or training is required.

It is the Centre’s/Assessor’s responsibility to ensure that learners are only signed off as competent when they can be assured that the learner has fully met each of the relevant skills. It is recommended that multiple methods of meeting skills criteria are recorded e.g. via reflective accounts/logs, professional discussions etc. to demonstrate consistency and competency.

All skills criteria within the qualification must be achieved.

Frequency of observations in practice by Assessors

Learners must be assessed in practice throughout the duration of the qualification which is usually 2 years or less depending on experience and the mode of delivery (e.g. standalone or via an apprenticeship). Assessors will observe learners in practice throughout the lifespan of the qualification, to include the beginning, middle and end of the qualification to ensure learners demonstrate consistency and so that support can be provided in a timely manner.

All students are required to give a 48 hour notice if they wish to cancel or rearrange their observation. Failure to do so will incur a fee of £345 + VAT.

All students are required to confirm their surgery address. Failure to do so will incur a fee of £425 + VAT to rebook their assessment visit.

If a student has been assessed and then later change their dental practice placement, the student will be required to pay a fee of £225 + VAT if practice is within 50 miles radius and £300 + VAT for over 50 miles radius for the assessor to conduct a visit at the new practice.

In addition, it is recommended that multiple methods of meeting skills criteria are recorded e.g. via reflective accounts/logs, professional discussions etc. to demonstrate consistency and competency.

Observation tracker templates

An observation tracker has been produced for each unit that contains skills assessment criteria. Each criterion the learner needs to achieve is given. The template gives the grades that can be awarded for the criteria, these are:

C = competent (learner meets the criteria satisfactory)

PC = partially competent (learner meets some of the criteria, but not all)

NC = not competent (leaner meets none of the criteria)

If a learner receives either a partially competent or not competent grade, the Assessor will give formative feedback to the learner to help them know how to improve. In addition, a second tracker template will need to be completed for those criteria that require additional observations for satisfactory completion. Once observations have been completed, the Assessor signs off the criteria as achieved.

It is recognised that each learner may not have the opportunity to work with all types of patient or the full range of learning outcomes. Should this be the case, the Assessor needs to ensure they have observed the learner satisfactorily undertaking the procedure on as broad a range of patients and learning outcomes as possible. Internal quality assurance from the Centre will be able to advise the Assessor on specific units and learner achievement on whether the breadth of patient type is sufficient for the observation.

There is no compensation between units or between observations and unit tasks within a unit.

  1. What assessment methods can be used to assess the units?

A recommended range of assessment methods has been identified for this qualification. This gives the opportunity for different learning styles and individual needs of learners to be taken into account.

Units DN 1 – 11 and unit UFAE are internally assessed, and units DN 12 – 16 are both internally and externally assessed.

Methods include:

  • *direct observation (by a qualified Assessor who is a GDC registrant and meets our assessment principles)
  • expert witness evidence
  • professional discussion
  • reflective accounts (Learner log or reflective diary)
  • written and pictorial information
  • Optional task set by us (for knowledge learning outcomes /underpinning knowledge for skills learning outcomes)
  • Oral questions and answers.

*Mandatory assessment method

How does expert witness evidence work as an assessment method?

Expert witness evidence can be used as an assessment method for units DN 5, 9 and 10.

It requires a signed supporting statement to be written by an expert witness, such as a registered professional (e.g. Dentist, dental nurses or dental hygienist), who has the opportunity to see the learner working in their workplace situations, and is able to confirm competencies demonstrated by the learner through written examples of observed practice noted against the assessment criteria listed on the ‘Expert Witness evidence statement’.

The learner will also be required to provide a supporting statement; this allows further detail to be included by the learner, which may provide opportunity for the learner to demonstrate underpinning knowledge and understanding.

This form of assessment maintains the gathering of witnessed performance evidence, where it would not be possible for an assessor to directly observe the learner’s practice.

The expert witness will have been approved by the centre but the evidence provided by the expert witness will be judged against the units’ assessment criteria by an assessor who is a GDC registrant and meets the assessment principles.

External assessment tests

  1. When can the two external assessment tests be taken?

Learners can be entered in for the two external multiple choice question (MCQ) tests once they have demonstrated achievement of all the learning outcomes and assessment criteria across the knowledge units DN 12 – 16.

The responsibility will remain with the tutor to prepare learners and only enter them for the two MCQ tests when learners have the requisite knowledge. There are 2 further opportunities for learners to re – sit each multiple choice question test.

In addition, each Centre will be subject to regular CACHE external quality assurance visits throughout the duration of the qualification, which will include reviewing Centre documentation to ensure all requisite learning has taken place and is evidenced before the Centre has entered a learner in for the two external assessment tests.

  1. What do the external assessment tests look like?

The external assessment consists of Multiple Choice Questions (MCQs) designed to test the knowledge of learners covered in units DN 12 – 16 inclusive. There will be two MCQ test papers, each individually graded. Once the learner has taken each test, the grades will be combined to give the learner their overall qualification grade of pass, merit or distinction.

  1. What is the format of the two external assessment tests?

Each learner has an individual login specific to their test sitting. The learner has a maximum of 90 minutes to complete the assessment. The system is timed and after 90 minutes the learner will be locked out. There are time warnings at intervals to alert the learner to the amount of time they have remaining. The learner has a timed slot and the assessment must be taken in one sitting.

The assessments must be taken under examination conditions that is, an invigilator must be present to unlock the test and remain with the learner whilst they complete the test(s). The learner is unaware if the responses they have entered are correct or incorrect at the time they sit the assessment.

  1. Where are the external assessment tests taken?

The two external assessment tests are online, remotely accessed tests undertaken at the Centre. The tests are on demand, allowing Centres the flexibility of choosing the date and time for submitting learners for their tests. The period of notice that Centres must give for online tests is 24 hours, although 48 hours is recommended.

  1. Do the two external assessment tests have to be taken one after the other?

It is at the Centre’s discretion whether they wish to enter learners in for one or both tests. The centre may wish to enter the learner in for one test, gain their result and then enter the learner in for the next one. Alternatively, both tests can be ta ken one after the other on the same day.

  1. Can learners review questions in the external assessment tests?

Learners are able to review questions and revise their responses at any time during the test. They may also ‘flag’ a question and return to it at a later stage however, their overall time to complete the assessment is 90 minutes (for each test).

The MCQ tests are compiled and go through an audit process of revision and scrutiny to ensure that no questions provide information that would enable learners to achieve the correct answer in earlier or subsequent questions.

The test papers rotate at a learner level. The learner is identified by their unique CACHE PIN and a different paper is allocated against the unique PIN so in effect, each learner receives a unique test paper. Test paper rotation is random through the electronic system and there is no opportunity for learners to be presented with the same question twice. This mechanism is designed to minimise the risk of learners sharing responses.

  1. How are the external assessment tests marked?

The online assessments are electronically marked. A mark of 60 per cent is required for the learner to achieve a pass in each test.

  1. When will the results be issued for the external assessment tests?

The results will be confirmed and issued within 10 working days of the exam date.

  1. Are there any re-sit opportunities for the two external assessment tests?

Learners are permitted to re – sit each assessment test twice more either because they failed or to improve their grade.

  1. If a learner refers on an external assessment test is there any specific feedback that is provided to the Centre?

Once the results have been released (available to centres after 10 working days) the Centre can obtain a breakdown report (in Surpass). The information in the report will not go down to question level but will be related to the learning outcome/assessment criteria, which can then be linked to a particular unit. This will help Tutors ascertain where more learning is required by the learner.

Continuation Policy

AcePace has a strict policy in regard to students finding employment within a Dental Surgery whilst studying on the course. All students must be in a Dental Placement within 4 months of the first scheduled lesson or in accordance to the deadline stated in your student timetable.  As an example, if a class starts on the 25th March, a student must be in employment no later than the 25th July.

Failure to find employment within this timeframe will result in students not being able to complete their portfolios.

All students must submit their portfolios within 9 months of starting the course.

In the unlikely event that a student does not find employment within the 4 month period or the deadline stated in your student timetable, they will have the option of paying a one off continuation fee of as per below in order to continue the qualification and complete their portfolio. This will include additional classroom sessions and support for 6 – 12 months depending on how long it takes to finish the portfolio.

The continuation fee is only available to students who have not found employment within the 4 month period or the deadline stated in your student timetable or submitted their portfolios within 9 months of starting the course.

Re-sit /Transfer Policy

Exam applications will not be forwarded to the examination board if they don’t meet the following conditions:

  1. Examination, administration fees have been paid and your dues are clear & settled.
  2. The student has attended 80 percent of the scheduled lessons.
  3. The student holds a valid current CPR or Basic Life Support certificate.
  4. The student has met all the agreed deadlines.
  5. The student’s internal mock exam result shows progressive understanding of the syllabus.

These fees include your examination fees for the above exams.

Students who have successfully completed the portfolio but feel they are not prepared to take the examination or do not meet the requirements to enter the examination can renew their support for either three, six or nine months. This renewal will not include further lessons before the next examination however we will offer the required level of support. Refer to Table i

This is excluding the exam fee payable to CACHE.

The renewal cost for re-sitting the examination is £274.00 for the both attempts, this includes course renewal by AcePace Training. Please note that we only extend this for 3 months if you are still not ready for exam then the above course fees will be payable again. Students who fail to reach the required standard in all external assessments will need to be re-registered in order to attempt the external assessment again. The total fee for re-registration is £524. Refer to Table 10 f) ii

Candidates must pass both parts of the examination within 2 attempts.

Deferment policy

AcePace has offered a deferment policy for our students that enable a student to defer from their original booking onto the next available course in our sequence of cohorts. This opportunity is looked at on a case by case basis and must be confirmed before the course start date and subject to availability. AcePace are unable to move students after their original course has begun. Please note that if a student is deferred to a later course enrolment, the course fees still need to be paid as per the original direct debit agreement in its entirety.

Changing/Transferring or Deferring Class

 A student may be allowed to move to a different class, which has started within 1 month of the original class they were assigned to on the following conditions:

  • Newly found employment specifically in a dental practice which will prevent the student from attending their class or, in an event of bereavement of an immediate family member or extreme financial difficulty when this falls within the first month of commencement of the course.
  • Possibility of moving to another class also depends upon the available room in another class that started within a month of the original class. (Please note: only 1 transfer permitted per student).

If a student wishes to transfer class between 1-2 months after the commencement of the course for the reason mentioned above, he/she will be required to pay £295+ VAT towards the admin and transfer fee.

If a student wishes to transfer to another class between 2-6 months after commencement of the course for the reason mentioned above, he/she will be required to pay £625+ VAT towards the admin and transfer fee.

Student can defer their course for future date (only 1 year deferral period allowed) for any reason, this will be £775+ VAT towards the deferral and admin fee. This applies to any student whom wishes to postpone the course until the next 12 months.

AcePace Training’s total course fee for the Diploma in the Principles and Practice of Dental Nursing (QCF) 2019 is £1999 for the students who would like to start the course from the beginning.

*Transfer: This is when a student wishes to change to a different scheduled class, however has same exam date as their current group.

*Defer: This is when a student wishes to change to a different scheduled class and the exam date is different date to their current exam date.

CACHE Examination Fees

All students should be aware that the CACHE charge £225.00 to all applicants wishing to sit the Diploma exam. This examination fee should be submitted to AcePace Training Ltd along with your Candidate registration form, if this is not included in your tuition fees already.

 Note: We do charge £70.00 for admin fee/processing fee to process this payment on your behalf.
Candidates must pass both parts of the examination within 2 attempts.

Class Size

All students should be aware that in the unlikely event that a specific class is experiencing exceptionally low attendance levels on a regular basis, the class maybe combined with another class which maybe at a different time. Students will be informed in advance of any such change. Student’s views on the matter will be taken into consideration before a final decision is made.

The Qualification Process

Full qualification of The Diploma in Dental Nursing is achieved by completing the process below;

  • The student recognises that failure to complete any part of the process will result in not successfully becoming qualified as a dental nurse.
  • Attend a course with an approved centre (AcePace Training is fully approved)
  • Find a work placement ideally within the recommended time in order to complete the portfolio.
  • Successfully pass both parts of The Diploma in Dental Nursing Examination for Dental Nurses.

Identification Badge & Safety at work policy

 It is a requirement of the GDC that learners (Trainee Dental Nurses) must be easily identifiable from registered Dental Nurses in the work setting. This is required so that patients are aware that a trainee Dental Nurse may be working with one of the clinicians (Dentists, Hygienists or Dental Therapists). An example of how this could be made clear is by the learner wearing a name badge in the workplace with the title on the badge reading ‘student/trainee Dental Nurse’.

 All students on the Dental Nursing course will be issued a Trainee Dental Nurse badge at a refundable fee of £15. The badge must be returned in a good condition at the end of the course in order to claim the deposit of £15. If the badge is lost or stolen, this will incur a replacement fee of £15.

The above is requirements of our identification within the workplace policy.

Who can quality assure placements?

To confirm suitability of placements, AcePace will ensure that placements are quality assured by dental registrants.

Exam Policy

Exam applications will be forwarded to the examination board for acceptance on the following conditions:

  1. Examination, administration fees have been paid and your all dues are clear & settled.
  2. The student has attended 80 percent of the scheduled lessons.
  3. The student has submitted their portfolio within 9 months of starting the course.
  4. The student holds a valid current CPR or Basic Life Support certificate.
  5. The student has met all the agreed deadlines.
  6. The student’s internal mock exam result shows progressive understanding of the syllabus.

Note: We do charge GBP 70.00 for admin fee to process this payment on your behalf.

Policy for cancellations and refunds

AcePace will not either partly or fully refund your course fee to you at any point that you decide to leave the training course. The only time that we would agree to refund the course fee is if we decide not to run or cancel the course.

The deposit otherwise is non-refundable. Withdrawal request from the candidate – if at any point the student withdraws from the course he/she will be required to pay the whole course fee (if paying by instalment plan).

Course fees will not be refunded where cancellations are received after or before the course commencement date, for whatever reason, no refund will be given. In addition, any balance of outstanding fees on the student’s account must be paid in full.

Refunds and Pregnancy

Where a candidate falls pregnant within 1 calendar month of the first lesson and this has been declared after the 5 working days cooling off period AcePace Training will refund 40% of any amount that have been paid up to the date of declaration of pregnancy to AcePace Training. The deposit is not refundable.

  1. Students are expected to attend the course they enrolled for from the start date applied for and of which they have been notified.
  2. The College reserves the right to exclude permanently any student who commits gross misconduct or a serious breach of College regulations. If such action is taken, the student will forfeit all fees or other payments made to the College.
  3. Students are financially liable for any damage that they may cause to AcePace’s property or equipment.
  4. Students are also required to abide by any additional course-specific regulations and policies which may be specified by AcePace Training.
  5. Late submission fees, assessment re-take fees and any other such charges.
  6. Students are entitled under the terms of this agreement to a refund of all or part of the fees paid in the following circumstances:
    Should the College be unable to offer an advertised course on the advertised start date, or within a reasonable period thereafter a full refund will be given
  7. No refund of fees paid will be given under the following circumstances:
    In cases of dishonesty, e.g. the non-disclosure to the College of information, the presentation of forged documents, any changes to documents seen by the College.
    If a student withdraws from their course before the course completion date.
  8. The Fees and Deposit in not refundable in any other case.

Failure to service monthly instalment plan

If you have chosen the Instalment Plan option, your monthly payment will be taken by direct debit after completing and agreeing to our direct debit mandate conditions.

On choosing the instalment option you agree to the above schedule of payments. The course fees are due in full even if you decide to withdraw from the course. Upon withdrawal, you are liable to pay as per their agreed monthly instalments plan.

In the event of non-payment of instalments where the instalment is more than 1 week overdue, AcePace will email to the student requesting a payment and detailing all overdue payments. A further 2 weeks will be granted to pay off the remaining overdue instalments. If no payment is received by the end of the extended period the student will automatically be suspended from the course until fees are paid up to date. Please note that this can seriously affect your chances of completing the qualification.

Please note: In the event that a student failed to make the overdue payment, the company will reserve the right to pass the outstanding debt to the debt recovery team and the student will lose the right to the interest free monthly payment option. The remaining applied full balance will be due for settlement immediately.  

Plagiarism Policy

What does it mean?

When someone submits an assignment that contains work that is not his/her own, without indicating this (providing reference or acknowledging the source/s), then it is ‘plagiarism’ and this is an offence.

This includes:

  • Copying from the notes or essays of a fellow student.
  • Copying word-to-word directly from a text.
  • Copying a phrase or sentence.
  • Rephrasing the words from a source very closely.
  • Using downloaded information from the internet.
  • Copying or downloading figures, photographs, pictures or diagrams without acknowledging your sources
  • Copying from your own notes, on a text, tutorial, video or lecture, that contains direct quotations.

Although you are encouraged to show the results of your reading by referring to and quoting from works on your subject, copying from such sources without acknowledgement is deemed to be plagiarism and will not be accepted by the college.

This means that you must make it clear which words and ideas are yours and which have come from elsewhere, through the use of quotation marks as well as in-text citations.

What to do?

Where plagiarised material is included in assignments, tutors are likely to notice the shifts in style and may be aware of the source. Seek their advice on this early on in your study.

Why not to plagiarise?

You might do it due to lack of self-confidence or from a lack of understanding about the aims of the assessment and about what is required of you. Assignments provide a vehicle for assessing your performance during your training and contribute to your overall result. However, they also assist you in understanding your subject and aid your learning on the topic.

When you choose, and attempt to use the ideas and terms independently, you learn more thoroughly and develop your own writing style. You are likely to perform better in examinations if you have learned how to write your own reports.

You are denying yourself the benefit of this valuable learning strategy by submitting work that is not your own. Copying would be counter-productive to your goal of understanding the topic and to real achievement. Most students will not wish to take such a negative approach to studying, and AcePace does not tolerate it.

You are encouraged to collaborate with others in studying, but submitted work copied from or written jointly with others is not acceptable, unless collaboration is required in the assignment.

Therefore, you will be asked to acknowledge a statement to confirm that all portfolio/homework you have submitted is your own. Submitting work that has been done by someone else and persistent borrowing of other people’s work without citation are obvious instances of plagiarism and are regarded as cheating. Copying answers from social networking sites is cheating. Paying for work from other sources and submitting it as your own is also cheating. It gives one student an unfair advantage over others, that’s why it’s wrong. Passing on your assignments to others, with the knowledge that another student may copy the assignment will also lead to a penalty.

Actions:

If a case of plagiarism is proven, this is a serious offence and AcePace’s below disciplinary procedures will be followed:

  • Student will be suspended until further decision and be given verbal/written warning.
  • Student can be asked to resubmit whole or part of the assignment.

If a candidate fails to comply then below actions will be taken:

  • Student might be removed from the college.
  • Student might be reported to governing bodies.

Student Responsibilities

Students must agree to abide by all AcePace T&C, regulations and policies and given to all students at time of enrolment. These are included in the Student Handbook, displayed on the AcePace website at https://www.acepacetraining.co.uk, and made available to students as required. They may be updated from time to time. A full list of documents containing AcePace’s relevant regulations and policies is available on request.

Students are required to:

  • Follow all College procedures for submission of work and deadlines
  • Abide by the College protocols & deadlines on academic standards and the avoidance of ‘unfair practice’ including plagiarism
  • Respect all College property, equipment and learning resources
  • Fulfil all financial obligations to the College as detailed below in Financial Regulations, Refunds and Transfers
  • Respect the College’s attendance requirements and be aware that failure to do so may have implications, including the requirement to retake elements of the course and pay the associated charges.

Will you need a job in dental surgery?

Yes, you will have 3-4 months’ time from the start of your course to find a placement. The AcePace Recruitment team will provide a list of Private Surgeries who are in touch with us for the last 4/5 years and looking for more Trainee Dental Nurses so you can contact them as a registered/approved student at AcePace.  AcePace will also supply weekly updates of vacancies to our students. You will be free to contact these vacancies to organise interviews by the way of contacting our admin team through email or phone call. Students who are unable to secure a placement within the first three months of starting the course will not be moved on to the CACHE Level 3 Diploma in the Principles and Practice of Dental Nursing until they find a trainee dental nurse job.

We also provide Reference letter to the employer in case if you find a job at local practice.

Student Enrolment

All students will be enrolled on Introduction to Dental Nursing course and will be moved to CACHE Level 3 Diploma in the Principles and Practice of Dental Nursing programme once they have secured a placement in a Dental Practice on a part or full time basis.

Learners must be working or on a practical placement to be able to show competence in both knowledge and skills. It is recommended that a minimum of 16 hours* per week be spent in a Real Clinical Work Environment

Employment

AcePace does not guarantee employment to any student as a result of purchasing and attending any of its training courses. However our recruitment team will, where possible, endeavour to assist students that attend courses to find suitable vacancies for potential employment opportunities. This will depend on suitability of the student to a client’s requirement, and whether or not there are any vacancies. AcePace reserves the right to select candidates for interviews with its clients or refuse to forward information regarding employment opportunities to any student who has purchased one or more of its courses. This applies to all courses run by AcePace Training. AcePace will supply weekly updates of vacancies to our students. You will be free to contact these vacancies to organise interviews by the way of our Job page located on our website. AcePace cannot be held responsible for its client’s requirements or selection criteria at any time.

Medical advice

You must be vaccinated against Hepatitis B and if possible provide evidence of Hepatitis B vaccination blood test results, to show that your anti body levels are high enough. You must also ensure that you are up to date with your tetanus booster and all childhood vaccinations before you start working in any dental practice.

A dental nurse, whether qualified and registered or a trainee, working in a clinical setting should not only be Hepatitis B vaccinated but must have clear proof of antibody titre to confirm that s/he is appropriately protected from the virus.

The reasons for this are:
■The individual must be protected themselves (to protect themselves and their partner/family).
■Without vaccination the dental nurse runs the risk of becoming infected with hepatitis which could then put patients at risk which would be entirely contrary to GDC ethical guidance.

You may also need to provide TB proof.

Change of Tutors

AcePace Training reserves the right to change or replace tutors at short notice which may be due to unforeseen circumstances such as sickness and/or emergencies. AcePace Training do not guarantee the same tutor for an entire term of any course. In cases of unforeseen teacher absence AcePace Training will supply a substitute tutor/tutors for the period of the absence where enough notice was given which is 72 Hours. In cases where insufficient notice of an absence was given consultants of AcePace Training will make every reasonable effort to inform students of a lesson Cancellation via telephone calls and e-mails but cannot be held responsible for unreceived messages due to incorrect or eligible contact details which have been given to AcePace Training.

Refugees and Overseas students

AcePace Training cannot be held responsible for the failure of students to gain permission to study in the UK by the UK border agency. All students are solely responsible for attaining the correct information and permission to study in the UK ensuring that they obtain the correct visa before paying any part of their course fee. Please be aware that students must allow a reasonable amount of time in which to complete portfolio therefore no refunds will be given to any student who cancels a course on these grounds.

Failure to Attend Classes

It is in the student’s interests to attend all scheduled classes on this course. AcePace Training cannot be held responsible for information students have missed which either was given verbally in the class or in written form due to lateness or other personal problems that students may experience and as a result will not supply extra lesson time or handouts to any student who requests extra help for these reasons. It is the responsibility of the student to do extra reading and research for information that has been missed.

AcePace Training admin will record, monitor and report on the attendance of all students for all their timetabled classes.

Any absence will be considered to be unauthorized unless there is a valid reason and proof has been submitted.

Exam Fee

Exam fee – £275 plus admin fee will be charged at the time for applying for examination to CACHE.

College Rights and Responsibilities

  1. The College will adhere to and implement good practice in applying its regulations, and meet its responsibilities as defined by all relevant external accrediting and awarding bodies/organisations and as detailed in the College Code of Commitment, which can be found in the Student Handbook.
  2. The College reserves the right to assess applications and to offer admission or reject applications as it deems appropriate, in line with course entry requirements and best practice among educational institutions.
  3. The College reserves the right to alter dates, fees and any particulars in published materials (in prospectus, brochures, or on the website) without prior notice. Equally, the College reserves the right to vary, amend or introduce regulations, terms, policies and procedures without prior notice, within reason. This does not affect the statutory rights of students, as indicated below.
  4. For courses where the number of teaching hours are not specified by an awarding body, the College reserves the right to vary within reason the length of the course, the number and length of holiday periods and the days on which the course runs.
  5. The College accepts no legal liability in the cases of accidents, illness, loss or damage to personal effects or mail, or for any damages or accidents caused through negligence or otherwise of a third party.
  6. The College reserves the right to contract any third party to provide services, including enforcing any terms of this agreement, and to store and share with any parties as appropriate, students’ personal information, subject to the United Kingdom’s Data Protection Act 2010.
  7. The College reserves the right to conduct and provide its services from premises within reasonable commuting distance of its current campus.
  8. The College reserves the right to initiate the recovery of all outstanding fees or College property from its students, and action to achieve this may include legal action as appropriate.
  9. The College reserves the right to change a student’s fee status classification in the light of changes in relevant UK legislation, or where the student has withheld relevant information.
  10. The College reserves the right to make special arrangements to cover exceptional/extenuating circumstances, at the discretion of the College.

Complain Policy

  • If a student is dissatisfied with either the course’s educational provision (other than the award of credit, a mark, or grade) or its support services, the following procedure must be followed.
  • Step 1: Speak to AcePace admin staff and raise your concern
  • Step 2: If you are still not satisfied then please put your complaint in writing to San Kumar, Manager/Quality Assurance on info@acepacetraining.co.uk. You will receive an acknowledgment report within 10 working days and the complaint will be dealt with within 28 working days.
  • The student should contact the Course Director concerned in writing and explain the nature and grounds of the complaint.
  • The course Director will acknowledge the complaint when received and resolve the complaint informally where possible, and record its outcome, where the issues raised by the student appear capable of effective and fair resolution by informal discussion with the student.
  • If it appears to the course Director that the complaint appears on the face of it to be unjustified, misconceived or vexatious the course Director may write to the student and invite withdrawal of the complaint on such basis with an indication that the complaint will only proceed to an investigation if the student responds in writing and requires the complaint to proceed.
  • In the event of a complaint proceeding formally, the course Director will consider the complaint in consultation with those concerned in the provision of the service e.g. the course tutor, internal assessor, programme manager or other service manager.
  • Where a complaint puts in question a matter of academic performance and/or professional judgment/reputation of the person who is the subject of the complaint he/she shall have a right to put their case to the course Director.
  • The course Director will provide the student with a provisional response in writing as soon as reasonable practicable, and in any case within four weeks of receiving the complaint. The student will be invited to comment in writing within seven days. The course Director will review the provisional response in the light of any observations communicated by the student and then finalize and provide the student with the written response itself within seven days of receiving any observations on the provisional response.
  • If the course Director decides that there is a basis for the complaint, the course Director will seek an equitable resolution of the issue.
  • If a student is expelled, a letter detailing the reasons will be sent to the student. The student will not be entitled to a refund of course fees paid. AcePace Training reserves the right to expel instantly any student contravening our gross misconduct policy.

Financial Regulations, Refunds and Transfers

  1. Students must pay the full tuition fee for a specific course.
  2. Course fees for self-financed students may be paid by instalments in agreement with the College.
  3. The College reserves the right to make the following charges, at the rates detailed in College regulations as updated from time to time.
  4. Duplicate copies of Letter of enrolment will be charged £20/per letter.
  5. All fees are due immediately and are non-refundable as provisioning of your service commences immediately.
  6. All payments must be in UK Pounds Sterling. If your cheque is returned by the bank as unpaid for any reason, or if your credit card declines you will be liable for administration charge of £25.
  7. All monthly instalments must be paid by a recurring method of payment and as per agreed payment terms. Failure to do so will result in contact from our Collections Department and an admin fee of £25 will be incurred each time a letter is issued.
  8. All charges payable by you for the services shall be due and payable in advance of our service provision. Charges are exclusive of VAT, except it says otherwise which shall be paid additionally by you at the rate prescribed by law on submission by us of a proper VAT invoice;
  9. You agree to pay all value-added taxes related to the service(s) provided to you hereunder. All sums due and payable that remain unpaid after any applicable due period herein will accrue a late charge of £10 per week or the maximum amount allowed by law, whichever is less.

How is the qualification assessed? What are the observation requirements?

The qualification is assessed internally and externally.

  • Learners are internally assessed via various methods
  • Learners are also externally assessed through the two external assessment tests covering the underpinning knowledge across units DN 12 – 16. The format of the tests will be multiple choice questions and each paper will contain 50 marks with duration of 1 hour 30 minutes for each paper. These are not an open book assessment. They are a formative assessment using criterion referencing. Negative marking is not employed.

Observations:

For units which require observations to be undertaken, learners must have exposure to an appropriate breadth of procedures and patients (e.g. adults, children and young people, older people and those with special needs e.g. hearing and visual impairments, learning disabilities, mobility issues etc.). Learners should undertake each activity relating to patient care on sufficient occasions to enable them to develop the skills and the level of competency required to achieve the relevant skills learning outcomes/assessment criteria. Partially competent and not competent indicate that more experience or training is required.

It is the Centre’s/Assessor’s responsibility to ensure that learners are only signed off as competent when they can be assured that the learner has fully met each of the relevant skills. It is recommended that multiple methods of meeting skills criteria are recorded e.g. via reflective accounts/logs, professional discussions etc. to demonstrate consistency and competency.

All skills criteria within the qualification must be achieved.

Frequency of observations in practice by Assessors

Learners must be assessed in practice throughout the duration of the qualification which is usually 2 years or less depending on experience and the mode of delivery (e.g. standalone or via an apprenticeship). Assessors will observe learners in practice throughout the lifespan of the qualification, to include the beginning, middle and end of the qualification to ensure learners demonstrate consistency and so that support can be provided in a timely manner.

All students are required to give a 48 hour notice if they wish to cancel or rearrange their observation. Failure to do so will incur a fee of £345 + VAT.

All students are required to confirm their surgery address. Failure to do so will incur a fee of £425 + VAT to rebook their assessment visit.

If a student has been assessed and then later change their dental practice placement, the student will be required to pay a fee of £225 + VAT if practice is within 50 miles radius and £300 + VAT for over 50 miles radius for the assessor to conduct a visit at the new practice.

In addition, it is recommended that multiple methods of meeting skills criteria are recorded e.g. via reflective accounts/logs, professional discussions etc. to demonstrate consistency and competency.

Observation tracker templates

An observation tracker has been produced for each unit that contains skills assessment criteria. Each criterion the learner needs to achieve is given. The template gives the grades that can be awarded for the criteria, these are:

C = competent (learner meets the criteria satisfactory)

PC = partially competent (learner meets some of the criteria, but not all)

NC = not competent (leaner meets none of the criteria)

If a learner receives either a partially competent or not competent grade, the Assessor will give formative feedback to the learner to help them know how to improve. In addition, a second tracker template will need to be completed for those criteria that require additional observations for satisfactory completion. Once observations have been completed, the Assessor signs off the criteria as achieved.

It is recognised that each learner may not have the opportunity to work with all types of patient or the full range of learning outcomes. Should this be the case, the Assessor needs to ensure they have observed the learner satisfactorily undertaking the procedure on as broad a range of patients and learning outcomes as possible. Internal quality assurance from the Centre will be able to advise the Assessor on specific units and learner achievement on whether the breadth of patient type is sufficient for the observation.

There is no compensation between units or between observations and unit tasks within a unit.

  1. What assessment methods can be used to assess the units?

A recommended range of assessment methods has been identified for this qualification. This gives the opportunity for different learning styles and individual needs of learners to be taken into account.

Units DN 1 – 11 and unit UFAE are internally assessed, and units DN 12 – 16 are both internally and externally assessed.

Methods include:

  • *direct observation (by a qualified Assessor who is a GDC registrant and meets our assessment principles)
  • expert witness evidence
  • professional discussion
  • reflective accounts (Learner log or reflective diary)
  • written and pictorial information
  • Optional task set by us (for knowledge learning outcomes /underpinning knowledge for skills learning outcomes)
  • Oral questions and answers.

*Mandatory assessment method

How does expert witness evidence work as an assessment method?

Expert witness evidence can be used as an assessment method for units DN 5, 9 and 10.

It requires a signed supporting statement to be written by an expert witness, such as a registered professional (e.g. Dentist, dental nurses or dental hygienist), who has the opportunity to see the learner working in their workplace situations, and is able to confirm competencies demonstrated by the learner through written examples of observed practice noted against the assessment criteria listed on the ‘Expert Witness evidence statement’.

The learner will also be required to provide a supporting statement; this allows further detail to be included by the learner, which may provide opportunity for the learner to demonstrate underpinning knowledge and understanding.

This form of assessment maintains the gathering of witnessed performance evidence, where it would not be possible for an assessor to directly observe the learner’s practice.

The expert witness will have been approved by the centre but the evidence provided by the expert witness will be judged against the units’ assessment criteria by an assessor who is a GDC registrant and meets the assessment principles.

External assessment tests

  1. When can the two external assessment tests be taken?

Learners can be entered in for the two external multiple choice question (MCQ) tests once they have demonstrated achievement of all the learning outcomes and assessment criteria across the knowledge units DN 12 – 16.

The responsibility will remain with the tutor to prepare learners and only enter them for the two MCQ tests when learners have the requisite knowledge. There are 2 further opportunities for learners to re – sit each multiple choice question test.

In addition, each Centre will be subject to regular CACHE external quality assurance visits throughout the duration of the qualification, which will include reviewing Centre documentation to ensure all requisite learning has taken place and is evidenced before the Centre has entered a learner in for the two external assessment tests.

  1. What do the external assessment tests look like?

The external assessment consists of Multiple Choice Questions (MCQs) designed to test the knowledge of learners covered in units DN 12 – 16 inclusive. There will be two MCQ test papers, each individually graded. Once the learner has taken each test, the grades will be combined to give the learner their overall qualification grade of pass, merit or distinction.

  1. What is the format of the two external assessment tests?

Each learner has an individual login specific to their test sitting. The learner has a maximum of 90 minutes to complete the assessment. The system is timed and after 90 minutes the learner will be locked out. There are time warnings at intervals to alert the learner to the amount of time they have remaining. The learner has a timed slot and the assessment must be taken in one sitting.

The assessments must be taken under examination conditions that is, an invigilator must be present to unlock the test and remain with the learner whilst they complete the test(s). The learner is unaware if the responses they have entered are correct or incorrect at the time they sit the assessment.

  1. Where are the external assessment tests taken?

The two external assessment tests are online, remotely accessed tests undertaken at the Centre. The tests are on demand, allowing Centres the flexibility of choosing the date and time for submitting learners for their tests. The period of notice that Centres must give for online tests is 24 hours, although 48 hours is recommended.

  1. Do the two external assessment tests have to be taken one after the other?

It is at the Centre’s discretion whether they wish to enter learners in for one or both tests. The centre may wish to enter the learner in for one test, gain their result and then enter the learner in for the next one. Alternatively, both tests can be ta ken one after the other on the same day.

  1. Can learners review questions in the external assessment tests?

Learners are able to review questions and revise their responses at any time during the test. They may also ‘flag’ a question and return to it at a later stage however, their overall time to complete the assessment is 90 minutes (for each test).

The MCQ tests are compiled and go through an audit process of revision and scrutiny to ensure that no questions provide information that would enable learners to achieve the correct answer in earlier or subsequent questions.

The test papers rotate at a learner level. The learner is identified by their unique CACHE PIN and a different paper is allocated against the unique PIN so in effect, each learner receives a unique test paper. Test paper rotation is random through the electronic system and there is no opportunity for learners to be presented with the same question twice. This mechanism is designed to minimise the risk of learners sharing responses.

  1. How are the external assessment tests marked?

The online assessments are electronically marked. A mark of 60 per cent is required for the learner to achieve a pass in each test.

  1. When will the results be issued for the external assessment tests?

The results will be confirmed and issued within 10 working days of the exam date.

  1. Are there any re-sit opportunities for the two external assessment tests?

Learners are permitted to re – sit each assessment test twice more either because they failed or to improve their grade.

  1. If a learner refers on an external assessment test is there any specific feedback that is provided to the Centre?

Once the results have been released (available to centres after 10 working days) the Centre can obtain a breakdown report (in Surpass). The information in the report will not go down to question level but will be related to the learning outcome/assessment criteria, which can then be linked to a particular unit. This will help Tutors ascertain where more learning is required by the learner.

Continuation Policy

AcePace has a strict policy in regard to students finding employment within a Dental Surgery whilst studying on the course. All students must be in a Dental Placement within 4 months of the first scheduled lesson or in accordance to the deadline stated in your student timetable.  As an example, if a class starts on the 25th March, a student must be in employment no later than the 25th July.

Failure to find employment within this timeframe will result in students not being able to complete their portfolios.

All students must submit their portfolios within 9 months of starting the course.

In the unlikely event that a student does not find employment within the 4 month period or the deadline stated in your student timetable, they will have the option of paying a one off continuation fee of as per below in order to continue the qualification and complete their portfolio. This will include additional classroom sessions and support for 6 – 12 months depending on how long it takes to finish the portfolio.

The continuation fee is only available to students who have not found employment within the 4 month period or the deadline stated in your student timetable or submitted their portfolios within 9 months of starting the course.

Re-sit /Transfer Policy

Exam applications will not be forwarded to the examination board if they don’t meet the following conditions:

  1. Examination, administration fees have been paid and your dues are clear & settled.
  2. The student has attended 80 percent of the scheduled lessons.
  3. The student holds a valid current CPR or Basic Life Support certificate.
  4. The student has met all the agreed deadlines.
  5. The student’s internal mock exam result shows progressive understanding of the syllabus.

These fees include your examination fees for the above exams.

Students who have successfully completed the portfolio but feel they are not prepared to take the examination or do not meet the requirements to enter the examination can renew their support for either three, six or nine months. This renewal will not include further lessons before the next examination however we will offer the required level of support. Refer to Table i

This is excluding the exam fee payable to CACHE.

The renewal cost for re-sitting the examination is £274.00 for the both attempts, this includes course renewal by AcePace Training. Please note that we only extend this for 3 months if you are still not ready for exam then the above course fees will be payable again. Students who fail to reach the required standard in all external assessments will need to be re-registered in order to attempt the external assessment again. The total fee for re-registration is £524. Refer to Table 10 f) ii

Candidates must pass both parts of the examination within 2 attempts.

Deferment policy

AcePace has offered a deferment policy for our students that enable a student to defer from their original booking onto the next available course in our sequence of cohorts. This opportunity is looked at on a case by case basis and must be confirmed before the course start date and subject to availability. AcePace are unable to move students after their original course has begun. Please note that if a student is deferred to a later course enrolment, the course fees still need to be paid as per the original direct debit agreement in its entirety.

Changing/Transferring or Deferring Class

 A student may be allowed to move to a different class, which has started within 1 month of the original class they were assigned to on the following conditions:

  • Newly found employment specifically in a dental practice which will prevent the student from attending their class or, in an event of bereavement of an immediate family member or extreme financial difficulty when this falls within the first month of commencement of the course.
  • Possibility of moving to another class also depends upon the available room in another class that started within a month of the original class. (Please note: only 1 transfer permitted per student).

If a student wishes to transfer class between 1-2 months after the commencement of the course for the reason mentioned above, he/she will be required to pay £295+ VAT towards the admin and transfer fee.

If a student wishes to transfer to another class between 2-6 months after commencement of the course for the reason mentioned above, he/she will be required to pay £625+ VAT towards the admin and transfer fee.

Student can defer their course for future date (only 1 year deferral period allowed) for any reason, this will be £775+ VAT towards the deferral and admin fee. This applies to any student whom wishes to postpone the course until the next 12 months.

AcePace Training’s total course fee for the Diploma in the Principles and Practice of Dental Nursing (QCF) 2019 is £1999 for the students who would like to start the course from the beginning.

*Transfer: This is when a student wishes to change to a different scheduled class, however has same exam date as their current group.

*Defer: This is when a student wishes to change to a different scheduled class and the exam date is different date to their current exam date.

CACHE Examination Fees

All students should be aware that the CACHE charge £225.00 to all applicants wishing to sit the Diploma exam. This examination fee should be submitted to AcePace Training Ltd along with your Candidate registration form, if this is not included in your tuition fees already.

 Note: We do charge £70.00 for admin fee/processing fee to process this payment on your behalf.
Candidates must pass both parts of the examination within 2 attempts.

Class Size

All students should be aware that in the unlikely event that a specific class is experiencing exceptionally low attendance levels on a regular basis, the class maybe combined with another class which maybe at a different time. Students will be informed in advance of any such change. Student’s views on the matter will be taken into consideration before a final decision is made.

The Qualification Process

Full qualification of The Diploma in Dental Nursing is achieved by completing the process below;

  • The student recognises that failure to complete any part of the process will result in not successfully becoming qualified as a dental nurse.
  • Attend a course with an approved centre (AcePace Training is fully approved)
  • Find a work placement ideally within the recommended time in order to complete the portfolio.
  • Successfully pass both parts of The Diploma in Dental Nursing Examination for Dental Nurses.

Identification Badge & Safety at work policy

 It is a requirement of the GDC that learners (Trainee Dental Nurses) must be easily identifiable from registered Dental Nurses in the work setting. This is required so that patients are aware that a trainee Dental Nurse may be working with one of the clinicians (Dentists, Hygienists or Dental Therapists). An example of how this could be made clear is by the learner wearing a name badge in the workplace with the title on the badge reading ‘student/trainee Dental Nurse’.

 All students on the Dental Nursing course will be issued a Trainee Dental Nurse badge at a refundable fee of £15. The badge must be returned in a good condition at the end of the course in order to claim the deposit of £15. If the badge is lost or stolen, this will incur a replacement fee of £15.

The above is requirements of our identification within the workplace policy.

Who can quality assure placements?

To confirm suitability of placements, AcePace will ensure that placements are quality assured by dental registrants.

Exam Policy

Note: We do charge GBP 70.00 for admin fee to process this payment on your behalf.

Policy for cancellations and refunds

AcePace will not either partly or fully refund your course fee to you at any point that you decide to leave the training course. The only time that we would agree to refund the course fee is if we decide not to run or cancel the course.

The deposit otherwise is non-refundable. Withdrawal request from the candidate – if at any point the student withdraws from the course he/she will be required to pay the whole course fee (if paying by instalment plan).

Course fees will not be refunded where cancellations are received after or before the course commencement date, for whatever reason, no refund will be given. In addition, any balance of outstanding fees on the student’s account must be paid in full.

Refunds and Pregnancy

Where a candidate falls pregnant within 1 calendar month of the first lesson and this has been declared after the 5 working days cooling off period AcePace Training will refund 40% of any amount that have been paid up to the date of declaration of pregnancy to AcePace Training. The deposit is not refundable.

  1. Students are expected to attend the course they enrolled for from the start date applied for and of which they have been notified.
  2. The College reserves the right to exclude permanently any student who commits gross misconduct or a serious breach of College regulations. If such action is taken, the student will forfeit all fees or other payments made to the College.
  3. Students are financially liable for any damage that they may cause to AcePace’s property or equipment.
  4. Students are also required to abide by any additional course-specific regulations and policies which may be specified by AcePace Training.
  5. Late submission fees, assessment re-take fees and any other such charges.
  6. Students are entitled under the terms of this agreement to a refund of all or part of the fees paid in the following circumstances:
    Should the College be unable to offer an advertised course on the advertised start date, or within a reasonable period thereafter a full refund will be given
  7. No refund of fees paid will be given under the following circumstances:
    In cases of dishonesty, e.g. the non-disclosure to the College of information, the presentation of forged documents, any changes to documents seen by the College.
    If a student withdraws from their course before the course completion date.
  8. The Fees and Deposit in not refundable in any other case.

Failure to service monthly instalment plan

If you have chosen the Instalment Plan option, your monthly payment will be taken by direct debit after completing and agreeing to our direct debit mandate conditions.

On choosing the instalment option you agree to the above schedule of payments. The course fees are due in full even if you decide to withdraw from the course. Upon withdrawal, you are liable to pay as per their agreed monthly instalments plan.

In the event of non-payment of instalments where the instalment is more than 1 week overdue, AcePace will email to the student requesting a payment and detailing all overdue payments. A further 2 weeks will be granted to pay off the remaining overdue instalments. If no payment is received by the end of the extended period the student will automatically be suspended from the course until fees are paid up to date. Please note that this can seriously affect your chances of completing the qualification.

Please note: In the event that a student failed to make the overdue payment, the company will reserve the right to pass the outstanding debt to the debt recovery team and the student will lose the right to the interest free monthly payment option. The remaining applied full balance will be due for settlement immediately.  

Plagiarism Policy

What does it mean?

When someone submits an assignment that contains work that is not his/her own, without indicating this (providing reference or acknowledging the source/s), then it is ‘plagiarism’ and this is an offence.

This includes:

  • Copying from the notes or essays of a fellow student.
  • Copying word-to-word directly from a text.
  • Copying a phrase or sentence.
  • Rephrasing the words from a source very closely.
  • Using downloaded information from the internet.
  • Copying or downloading figures, photographs, pictures or diagrams without acknowledging your sources
  • Copying from your own notes, on a text, tutorial, video or lecture, that contains direct quotations.

Although you are encouraged to show the results of your reading by referring to and quoting from works on your subject, copying from such sources without acknowledgement is deemed to be plagiarism and will not be accepted by the college.

This means that you must make it clear which words and ideas are yours and which have come from elsewhere, through the use of quotation marks as well as in-text citations.

What to do?

Where plagiarised material is included in assignments, tutors are likely to notice the shifts in style and may be aware of the source. Seek their advice on this early on in your study.

Why not to plagiarise?

You might do it due to lack of self-confidence or from a lack of understanding about the aims of the assessment and about what is required of you. Assignments provide a vehicle for assessing your performance during your training and contribute to your overall result. However, they also assist you in understanding your subject and aid your learning on the topic.

When you choose, and attempt to use the ideas and terms independently, you learn more thoroughly and develop your own writing style. You are likely to perform better in examinations if you have learned how to write your own reports.

You are denying yourself the benefit of this valuable learning strategy by submitting work that is not your own. Copying would be counter-productive to your goal of understanding the topic and to real achievement. Most students will not wish to take such a negative approach to studying, and AcePace does not tolerate it.

You are encouraged to collaborate with others in studying, but submitted work copied from or written jointly with others is not acceptable, unless collaboration is required in the assignment.

Therefore, you will be asked to acknowledge a statement to confirm that all portfolio/homework you have submitted is your own. Submitting work that has been done by someone else and persistent borrowing of other people’s work without citation are obvious instances of plagiarism and are regarded as cheating. Copying answers from social networking sites is cheating. Paying for work from other sources and submitting it as your own is also cheating. It gives one student an unfair advantage over others, that’s why it’s wrong. Passing on your assignments to others, with the knowledge that another student may copy the assignment will also lead to a penalty.

Actions:

If a case of plagiarism is proven, this is a serious offence and AcePace’s below disciplinary procedures will be followed:

  • Student will be suspended until further decision and be given verbal/written warning.
  • Student can be asked to resubmit whole or part of the assignment.

If a candidate fails to comply then below actions will be taken:

  • Student might be removed from the college.
  • Student might be reported to governing bodies.

NO REFUNDS WILL BE ISSUED IF THE CANDIDATE DOES NOT QUALIFY FOR THE TRAINING COURSE THEY HAVE APPLIED TO.

  1. FEES AND REFUNDS
    1. Deposits are non-refundable and will contribute towards the course fee. Deposits of £299 will secure a position on the course.
    2. The full course fees are expected to be paid 10 calendar days prior to the course start date. Failure to complete payment by this time will result in forfeiture of the deposit.
    3. Candidates may speak with the Registration Office if alternate arrangements for payment are necessary. All cases will be dealt with on a case-by-case basis and all decisions made by the Registration Office will be final. Failing to make payments as scheduled will result in forfeiture of all payments made.
    4. Failing to attend the course for any reason, except the unlikely event the course being cancelled by us, will not entitle the Candidate to access to a course at a later date nor to refunds of the course fees or deposits paid to us.
    5. In the event of the course being cancelled by us, all Candidates will be given alternate course dates, subject to availability.
    6. Candidates will not be accepted if they have not completed payments by the course start date.
    7. Change of course date is accepted if:
      1. Full payment for the course has been received, or instalment plan has been agreed.
      2. A written notice is received 10 calendar days prior to the course start date.
      3. The Candidate has not changed date previously.
    8. Course fees will not be refunded if the course is interrupted or cancelled due to an act of God or terrorist act.
    9. All course fees & deposits paid are non-transferable.
  1. ATTENDANCE, ASSESSMENT & ACHIEVEMENT
    1. All Candidates are required to have 100% attendance for all theory classes, practical sessions and assessments; as all classes build on previous knowledge provided, any absences will result in immediate expulsion from the course.
    2. Classes will begin promptly at the published times regardless of whether all Candidates are present.
    3. Latecomers may be requested to wait outside until a suitable break in teaching before entering a class. Teachers are not responsible for repeating missed work.
    4. Class hours may be varied at the Training Centre’s discretion, without prior notice.
    5. Paying and attending a course fully does not guarantee or qualification, diploma or certificate of achievement. Awards of Achievement are gained by successfully completing all assessments, marked by various awarding bodies.
    6. Time off for any reason is not recommended. If any unavoidable absences’, such as medical appointments, Weddings, Holidays (religious or otherwise) etc, are likely to occur during the course they must be discussed and agreed with the Registration Office before application.

 

GENERAL

  1. Video cameras are not permitted during the course due to health and safety and copyright infringement. Audio recording equipment may be permitted by specific arrangements.
  2. All Candidates are required to dress smartly i.e. shirt/blouse, trousers/skirts. During practical sessions, Candidates will be provided with white tunics. Hair is to be kept neat and tied up during practical work.

  1. Transferring Courses
  1. Transferring start dates or transferring between courses will be subject to a transfer fee of £125.00 for courses under £500.00 or £200.00 for courses over £500.00.
  2. Any transfers which are requested due to illness must be supported by a medical certificate.
  3. If you choose to transfer the start date or transfer between courses and your course was originally offered to you at a discounted price, you will be required to pay the difference to the full course price.
  4. The choice of course date must be specified at the time of transfer (else the instruction will be considered a cancellation)
  5. Course dates and venues
  1. TWLC Ltd & AcePace Training reserves the right to alter course dates and venues without liability.
  2. In the event of a cancellation where an alternative cannot be provided in respect of that course a full refund will be offered.
  3. TWLC Limited & AcePace Training will not reimburse travel or accommodation expenses. TWLC Limited & AcePace Training are not able to offer refunds for cancellations outside our control, including adverse weather conditions, flooding or industrial action.
  4. TWLC Limited & AcePace Training reserves the right to alter its course content and/or trainer to their discretion.
  5. Therapists completing an ‘upskill course’ will have 3 months to achieve their qualification.
  6. Students have 6 months from their last date of training to complete all elements of their qualification, including assessments, assignments and online exams. Failure to do so will result in a fee of 225.00 + VAT to complete outstanding assessments within the academy.
  7. Learners on the Level 3 A&P will have 6 months to complete their qualification from the date they receive their textbook and workbook. Failure to do so will result in a fee of £125 + VAT.
  8. Students on the Career change package will have 8 months to complete both the Level 3 A&P and the Level 4 Laser and IPL qualifications. Failure to do so will result in a fee of £325 + VAT.
  9. Sickness & Absences
  1. 100% attendance in required for all courses.
  2. Students must contact the tutor directly if not attending a lesson.
  3. If a student misses a lesson, a fee of £175.00 + VAT per day will be charged to catch up. Catch up sessions will be arranged on a separate day to the regular course sessions.
  4. Non-attendance of lessons due to sickness must be supported by a doctor’s note.
  1. Packages (Career Change Option) 
  1. A deposit for each course must be received by TWLC Ltd & AcePace Training at the point of booking.
  2. The total balance will then be due 10 calendar days before the start date of the first course.
  3. Course dates must be secure at the point of booking and cannot be changed.
  4. All courses must take place within 6 months of the booking confirmation.
  5. Transferring start dates or transferring between courses will be subject to a transfer fee of £125.00 for courses under £500.00 or £200.00 for courses over £500.00.
  6. Two or more courses must be booked as a package in order for a package “career change option’ to be applied.
  7. Any change to the course package after booking will result in the package (career change option) discount being revoked.

All course notes and teaching resources remain the property of AcePace Training & TWLC Limited cannot be relied upon for legal interpretation.

  1. Models

If you are returning to the academy to carry out a practical assessment you will be required to bring a model. This also applies to some of our short courses and courses with an odd number of students. Plenty of notice will be given if a model is required.

  1. Assessments
    1. General assessment sessions for individual courses or catch up assessments run 2 Sundays per month. Assessments must be booked via the office.
    2. You must make yourself available for requested IQA & EQA visits as any missed IQA assessment sessions will be charged at £205.00 + VAT & missed EQA assessment session will be charged at £245.00 + VAT.
    3. If cancelling an assessment, either practical or theory, a minimum of 48 hours notice must be provided
    4. Any missed assessment sessions will be charged at £205.00 + VAT
    5. Any re-booked assessment sessions will be charged at £205.00 + VAT
    6. Additional assessment sessions will be charged at £205.00 + VAT
    7. Students must arrive 30 minutes prior to assessment to prepare work area.
    8. Students must arrange to bring a client for assessment purposes.
    9. Students must bring all relevant paperwork to assessment – portfolio / VTCT assessment book etc.
    10. Additional assessment due to failed assessment sessions will be charged at £205.00 + VAT
    11. Re-sits for Upskill to Qualifications will be charged at £55.00 + VAT per session
    12. A&P (Level 3) Learners are permitted to re – sit each assessment test twice more either because they failed or to improve their grade. This will cost £75 Plus VAT per assessment attempt and AcePace need 48 hours notice before the next attempt.
  1. Late Completion
    1. Portfolios must be completed within 6 months from the last date training date – assessment sessions, external exams and marking after this time will be at extra cost.
    2. Portfolio Marking is charged at £40.00 + VAT per hour
    3. Assessments Sessions and External Exams are charged at £205.00 + VAT per day
    4. If completing a qualification up-skill a 3 month deadline is applicable.
    5. Any late completions relating to illness must be supported by a medical certificate. These will be assessed entirely at the discretion of AcePace Training & TWLC Limited.
    6. Students will be required to disclose any personal, medical or psychological condition before enrolling, or any situation, handicap or learning disability which might affect the ability to study or complete the course, or to deal with members of the public as a professional therapist.
    7. If the student is unable to attend a session, they are required to contact the tutor and office prior to the start of the lesson to inform them. Failure to do so could infringe upon the completion of the course. This is the responsibility of the student. 
  1. Complain Policy

At AcePace, we want to provide you with an outstanding educational experience and an excellent service. One of the ways in which we can improve what we do is by listening to you and responding to your views. AcePace value the feedback that students and Practices provide, and complaints are monitored, evaluated and reported to AcePace senior management. Our aim is to deal with complaints in a fair, reasonable and timely manner. When signing your Student Agreement with your AcePace you are agreeing to the policies and procedures which outline what you can expect from us and what we can expect of you. These policies, including the Complaints Policy, are available from resources page on AcePace website.

Complaints Procedure

Step 1- Informal Complaints Procedure: You should in the first instance raise any concerns with the tutor or lecturer. AcePace will aim to resolve the issues you raise within 10 working days.

Step 2 – Formal Complaints Procedure: If your complaint has not been resolved using the informal complaints procedure, or if it is inappropriate to use the informal procedure because the complaint is of a serious nature, you may make a formal complaint. Your complaint may be referred back to the informal complaints procedure if you skipped that stage without due consideration. How to make a formal complaint: Formal complaints must be made in writing or by email. Please Email the AcePace Centre Director at info@AcePacetraining.co.uk. Your complaint form letter or email should include clear detailed reasons for your complaint, an indication of the resolution or outcome you seek, and copies of any documents upon which you wish to rely. AcePace Centre Director administers the formal complaints process and will acknowledge, monitor and respond to your complaint. AcePace aim to acknowledge, investigate and report on the outcome of your formal complaint and any resulting action within 20 working days of receipt of your complaint. These timescales may be extended by the AcePace in certain circumstances e.g. where the issues raised by a complaint are serious ones or to take account of AcePace holiday or required liaising with third party.

You can normally expect:

  • Complaint acknowledgement:Your complaint to be acknowledged within 3 working days of receipt.
  • Complaint investigation, outcome and action: An investigation of your complaint will be undertaken by a AcePace Centre Director and aims to complete this stage within 18 working days of receipt of your complaint. The investigation may involve speaking with relevant individuals and or looking at relevant documentation. You may be asked to attend a meeting to discuss your complaint. You may not bring legal representation with you to this meeting if it is to occur but you may bring a friend or relative. If you have any particular requirements (e.g. English as a second language, a learning difficulty and / or disability) you may bring a second person with you.
  • Complaint response:The AcePace Centre Director aim is to provide a written response to within 22 working days of receipt of your complaint. If after 10 working days of getting a response you do not request a review, the AcePace will regard your complaint as closed.

Step 3 – Review of Formal Complaints: The AcePace Centre Director aims to investigate and resolve all complaints in a fair and reasonable manner. If you are not satisfied with the outcome or any action taken relating to your formal complaint you have the right to request a Review on one or more of the following grounds:

  • New material evidence has come to light which was not reasonably available at the time of the complaint investigation
  • You believe the outcome of the complaint was manifestly unreasonable &/or any resulting action was disproportionate
  • The complaints procedure was not followed.

You must clearly explain the reasons for your request for a Review including the grounds upon which it is based and enclose copies of all the documents you wish to rely upon.

  • Complaint acknowledgement: The Managing Director or nominee, will acknowledge your review request within 5 working days of receiving it.
  • Complaint review and action: The managing Director, or nominee, will consider your request for a Review and determine whether it meets one or more of the grounds stated above. If your request for a Review does not meet one or more of the grounds for review, the complaint outcome will not be reviewed. A Completion of Procedures notification will be sent to you by the Managing Director or nominee, to close the matter.

If the Managing Director, or her nominee, determines that your case needs to be reviewed, you will be notified who will lead the Review (reviewing manager) and what the Review will involve, including timelines. This may include speaking with relevant individuals and / or looking at relevant documentation. You may be asked to attend a meeting to discuss your complaint. Again, you may not bring legal representation with you to this meeting if it is to occur but you may bring a friend, or relative. If you have any particular requirements (e.g. English as a second language, a learning difficulty and / or disability) you may bring a second person with you. You will receive notification about the Review arrangements or Completion of Procedures within 10 working days of receipt of the Review request.

Review outcome: The outcome of a Review will be either to:

  • Uphold the complaint outcome and/or any action.
    • Substitute an alternative outcome and/or action.

You will be informed of the outcome of the Review normally within 5 working days of it being decided upon by the reviewing manager. The decision of the reviewing manager is final and AcePace will not consider your complaint further. The Review outcome will be contained in the Completion of Procedures notification.

THE COMPLAINTS PROCESS 

Stage 1 Informal Stage

  • The complainant raises the issue(s) or event(s) with a Tutor
  • The issue is investigated and an early resolution is identified normally within 10 working days
  • The student is satisfied with the outcome and so no further action is required and the case is closed
  • The student is not satisfied with the outcome and is entitled to proceed to Stage 2 (Formal Process)

Stage 2 Formal Stage

  • The complaint is send as an email. An acknowledgement letter is sent usually within 3 working days of receiving the complaint.
  • The issue is investigated by a designated manager and an outcome shared with the complainant normally within 22 working days of receiving the complaint.
  • If the complainant is not satisfied with the outcome, they may request a review within 10 working days of receiving the outcome.
  • If a Review is not requested the complaint is regarded as closed.

Stage 3 Review Stage

All requests for a Review must be sent to the AcePace Centre Director within 10 working days of receiving the outcome stating the grounds for the Review. The AcePace Centre Director will acknowledge receiving your Review request normally within 5 working days and inform you of the outcome of the Review request usually within 10 working days.

If the request for a Review is not upheld, you will be informed, and a Completion of Procedures notification sent.

If the request for a Review is upheld, the next stages, including the reviewing manager and the planned timelines will be communicated to you.

The Review is conducted and outcomes are communicated to you normally within 5 working days of its completion with a Completion of Procedures notification.

If the course Director decides that there is a basis for the complaint, the course Director will seek an equitable resolution of the issue.

If a student is expelled, a letter detailing the reasons will be sent to the student. The student will not be entitled to a refund of course fees paid. AcePace Training reserves the right to expel instantly any student contravening our gross misconduct policy.

  1. DISCIPLINARY
    1. If any Candidate behaves improperly on the Training Centre premises including any form of cheating during an assessment/exam, damages or removes any equipment belonging to the Centre will be asked to leave immediately.

The student is required to respect all copyright conditions.
